Custom status in Invoice

The Trackier Custom Invoice Status Guide allows businesses to create custom invoice statuses based on their internal payment and approval workflows instead of relying only on default statuses like:

  • Draft

  • Approved

  • Paid

  • Overdue

This feature helps teams manage invoices more efficiently and maintain better transparency between finance teams, advertisers, and publishers.

Trackier now allows you to set invoice statuses according to your specific requirements. This feature provides customised invoice status functionality, enabling users to create, modify, and assign statuses based on their unique business processes. Additionally, this article will guide you through new features such as Payment Proof, Attached Invoice, and Invoice Status.

Why Custom Invoice Status is Important

Every business follows a different invoice approval and payment process.

Some companies may require statuses such as:

  • Under Review

  • Payment Initiated

  • In Negotiation

  • Awaiting Approval

  • Processing Payment

Using custom statuses helps clients:

  • Track invoice progress more clearly

  • Improve finance workflow management

  • Reduce confusion during payment processing

  • Improve communication with publishers

  • Maintain better invoice visibility internally

Attached Invoice

We have introduced a new feature that allows the attachment of invoices. Now, when a publisher views an invoice proforma, they can upload their own copy of the invoice. Similarly, an admin also has the ability to upload an invoice.

For instance, consider a scenario where a company has engaged a publisher to provide app installs. From the company's data, the publisher has delivered 100 installs as part of a campaign, and the company has created an invoice reflecting that. However, from the publisher's perspective, there were 110 installs. In this case, the publisher can now upload their own invoice to reflect the correct number of installs. Once the invoice is uploaded, the company can view it directly from their panel.

Attached Invoice status

Now, when a publisher attaches their invoice, a section labelled "Invoice Status" will appear on the right-hand side. In this section, you have the option to either approve or reject the invoice uploaded by the publisher. If you choose to reject the invoice, you can provide a message explaining the reason for the rejection. This message will be promptly notified to the publisher via their panel.

Proof of Payment

Once the invoice has been marked as paid, you now have the option to attach proof of payment, such as a screenshot or a bill, as supporting documentation.

Custom Invoice

Previously, there were four predefined invoice statuses: Paid, Overdue, Draft, and Approved. When an invoice is created, it is initially set to "Draft" and then approved by the admin. Following approval, negotiations take place, and the invoice is either marked as "Paid" or, if the payment is not made and the due date is breached, the status is updated to "Overdue."

In addition to these standard statuses, we have introduced a new feature that allows you to create custom invoice statuses according to your specific requirements.

To create a custom invoice status, please navigate to the "Customize" section. From there, select "Invoice," followed by "Invoice Status," where you can then click on "Add New" to create a custom status.

Here you can type the following information:

Status name: This is the title of the status that will be displayed.

Display to the publisher: Specify whether you would like the status to be visible to the publisher or not.

Status: The status will be visible in the "Update Invoice Status" section.

Editing Invoice status

After creating a custom status, you can update the invoice status by clicking on the "Action" button in the Invoice Management section and selecting "Edit Invoice Status." From there, choose the desired status for the specific invoice and click "Save" to apply the changes.
